    Secure Scanning

    Ensure your scans are secured using Secure Scanning and Data Leak Prevention (DLP) technology.

    Scanning to email is done by typing the email address via the printer’s panel, or by selecting an email address from the organizational directory (Active Directory) list. This process is cumbersome, and leaves a significant margin for error – mistakes are frequent, often resulting in sensitive data being sent to the wrong people. There are several ways to scan documents.

    How Does the Secure Scanning Process Work?

    The user places the document for scanning in the MFP.

    The user is required to provide an identification code, enter code or swipe an ID card using the controller panel. After successful authentication, the printer interface is unlocked for secure scanning.

    The printer sends the scanned file to the server according to user username ID.

    Server sends the scanned file securely to the correct destination.

    Requirements:

    Secure Scanning work with any printer, multifunction device (MFP/MFD) or networked copier. Secure scanning is possible using either the embedded application on supported models, or by using the external touch controllers for any other model.

    Pull Printing

    Pull printing is a system where users select and release (pull) their print jobs when they arrive at the printer of their choice, rather than sending a print job from their PC (push) to a pre-specified printer or MFP (multifunction printer) for immediate printing.

    How does pull printing work?

    someone sends a job to their printer as normal, but the Managed Print Software (MPS) system does not print it immediately – instead the job is stored in a queue in a secure database on the server. When the person arrives at the printer of their choice in order to collect their job, they have to authenticate with the MPS system, upon successful completion of which, the MPS system releases only that persons’ selected print job. The location of the printer is largely irrelevant: the software automatically directs the job to whichever printer the person has authenticated at. Authentication can be done in a variety of ways, from RFID cards to PINs or passwords, biometrics, QR codes or NFC. Many organizations already have magnetic or RFID physical access control systems in place, these existing cards can usually be used for pull printing authentication as well.

    Server-less Printing

    Server-less printing is a feature which allows the use of secure pull printing, but without any print server being required.

    The solution requires that the Sentinel AP client application is installed on all PC’s on the LAN. The printers will be paired with controllers (either external touch-LCD controllers, or embedded controllers), and pull printing is then facilitated through the use of packet broadcasts across the LAN. Once a reply to a pull-print request has been received which matches the username of the authenticated user, the client application is able to intelligently direct the job to the printer in question.

    This configuration might be suitable for remote branches or small offices who require pull printing, but where a server is not feasible or practical, or where a VPN or internet connection is limited or non-existent. Server-less printing is ideally suited for environments where usually only push-printing would be supported, due to a lack of server infrastructure perhaps. Remote or isolated branch offices might be a good example. These would perhaps neither have readily available server hardware and associated technical support expertise on-site, nor a good enough broadband connection for a remote server to be feasible. In such a case, server-less printing would allow push printing to be replaced with a feature-reduced form of secure pull-printing, without the infrastructure requirements usually associated with such.

    True printing control starts with the ability to analyze print usage. We have a set of built-in reports which include information about printing activity according to users, printing devices, date ranges, etc. These built-in reports display various aspects of the information, both in summary and detailed formats. It is also possible to create a wide variety of customized reports, according to the organization’s specific requirements. Built-in reports include Printers Summary, User Summary, Top 10 Users, Group Summary, Print Job Type, Savings Report, etc. Each report can be printed and exported to PDF, EXCEL, Word and XML formats.
